Club Sample Documents

The following are examples of a Vision Statement, Mission Statement, Constitution, and several forms.  These need to be completed before visiting with the Principal.  These may be used in their entirety or changed to best fulfill the needs of your club.

 

 

What are the differences between the Vision Statement, Mission Statement, and Constitution?

Vision Statement/Purpose - expresses an organization's optimal goals for the future and reason for existence.  The Vision Statement usually remains unchanged is is something that should be revealed by God.

 

Mission Statement - describes the path to be taken to reaching the Vision by identifying the service areas, target audience, and values and goals of the organization.  The Mission Statement is more likely to be reviewed each year to determine if any changes are needed.

 

Constitution - are the guidelines for day to day activity and the club's structure on the path established by the club's Vision and Mission Statements.

 

 

Vision Statement

The best visions are inspirational, clear, memorable, and concise.  The average length for 30 of the largest organizations' statements are only 14.5 words.

 

Sample Vision – To fulfill the Great Commission in our school, or

                            -  That all students would know the ways of Jesus Christ, or

                            -  To introduce each student in our school to the salvation of Jesus Christ.

 

 

Mission Statement

The best mission statements are a "to the point description" of:

  •     What your organization is

  •     What it aspires to do

  •     What it actually does   

  •     What it hopes to achieve

 

Some mission statements are produced in isolation by one person and are then agreed by everyone else. The best ones however are a synthesis of ideas from many sources, even if one person will draft the final statement. This gives an idea of real ownership across the organization.

 

Ultimately the most important thing about writing a mission statement is that it defines the clubs activities and direction of your organization, is understood by everyone and can be used in a positive manner.

 

Sample Mission Statements

The club is evangelical by intent.  Its message is based on the Bible, Its ministry is motivated by the love of God. Its mission is to preach the gospel of Jesus Christ and to meet human needs of our fellow students in His name without discrimination, or

 

The club is a fellowship of believers that purpose to know God through a personal relationship with Jesus Christ, to equip believers through discipleship. Showing God's love, through skits, plays, games, and the Word of God, we strive to reach our fellow students with Jesus Christ through obedience to the Great Commission.

 

 

Constitution

What is a constitution?

Every student organization needs a constitution to give it a sense of order and purpose.  A constitution is a basic set of rules for the daily running of your club or group. It details for your members and others the name, objects, methods of management and other conditions under which your club or group operates, and generally the reasons for its existence. It also regulates the relationship between members by setting out the basis for working with other co-members.

 

 

SAMPLE CONSTITUTION

 This is a sample of a club Constitution.  It may be used as is or modified to fit the club's needs.  There are many additional examples of club Constitution listed on the web under "High School Club Constitution".

1.  Vision ______________________.

 

2.  Officers

2.1   This organization shall have a president, a vice president, a secretary, a treasurer, and other officers as    

         determined by the officers.

2.2   The president shall be the chief executive officer of the organization and shall preside at all meetings and

        direct the activities of the organization.

2.3   The vice-president shall assist the president and assume his duties in his absence.

2.4   The secretary shall keep the minutes of all meetings, correspondence for the organization, and keep all

         records of the organization, including a roster of the officers and leaders.

2.5   The treasurer shall collect and disperse all funds of the organization and shall keep written accounts

         thereof, and shall maintain a list of the physical assets, if any, of the organization.  

 

3.     Election of Leaders and Officers 

        (See "Student Leaders" under the "Running Club" section,  for explanation for this important approach to help

         assure that the club continues and continues in the Lord.)

3.1   New Leaders are to be recruited by the existing leaders from the club's members and shall become Intern-    

         Leaders by a majority vote of the existing Leaders.

3.2   Before assuming the position of an Intern-Leader, the new Intern-Leader and his or her's parent are to sign an

         Intern Leader Commitment Form.  After one year of being an active Intern, the Intern will become a Leader

         with a majority vote of the Leaders.  Before assuming the position of a Leader, the Leader elect and his or her

         parent are to first sign a Leader Commitment Form.

3.3  The election of officers shall be by a majority vote of the Leaders.  Officers are only to be elected from the

        group of Leaders and not from the membership.  The president shall be elected first, followed by the

        vice-president, the secretary, and the treasurer, in that order.  Each officer shall hold office for one year.  The

        election, if possible, shall be held for the forthcoming year at the last meeting of the preceding year.

 

3.4   An officer can be impeached (tried) for cause, upon written request of 50 per cent of the leaders.  The president

        shall preside at any impeachment, unless he is impeached, in which case the vice-president will preside.  It shall

        take a two-thirds vote of a Quorum of the leaders at a regular called meeting to remove an officer.

3.5  If the president resigns or is removed, the vice-president will become the president and a new vice-president

        will be elected.

 

4.      Faculty Advisor

4.1   The Leaders shall select  faculty advisor to be approved by the principal.

4.2   The faculty advisor shall interpret the school rules and regulations to the organization and shall be the

         principal’s representative to the organization.    

4.3   The faculty advisor shall have veto power over actions of the organization if the action is clearly in violation of

         the school or district policy.  If the officers of the organization disagree with the veto they can appeal in writing

         to the Assistant Principal or Principal for instruction furnishing a copy of the appeal to the faculty advisor.

 

5.     Membership

5.1   Any student that attends a meeting is considered a member.

5.2   Any student that is disorderly or interruptive may be asked to leave and may be excluded from future

         meetings.

 

6.     Committees

6.1   The president shall appoint such standing committees and such special-purpose (“AD HOC”) committees as he

        deems necessary.  Committee members may be from both the Leadership and membership.

 

7.     Dues and Other Expenses

7.1   There shall be no dues in this organization.  Funds are to be raised by club sponsored fund-raising activity,

         and by voluntary donations.

              

8.     Quorum

8.1   A quorum shall exist with 50% or more of the Leaders present, in person, phone, or by proxy, at a regular

        meeting.

 

9.      Ratification and Amendment

9.1   This constitution shall be valid and operative when approved by two-thirds of the Leaders and the faculty

         advisor.

9.2   Any amendment to this constitution must be proposed, in writing, at a regular meeting or a special meeting

        called for that purpose, at least one week before any vote thereon.

9.3   This constitution can be amended by a two-thirds vote of the Leaders at any regular business meeting.  Any

         amendment so made shall become effective when approved by the faculty advisor.

 

10.  Miscellaneous

 

11.  Other

11.1   Tie masculine (he, him, his) shall also mean the feminine (she, her, hers) and vice versa.

11.2   All business meetings shall be conducted by Robert’s Rules of Order.

11.3   The organization may, by majority vote of the Leaders, enact bylaws from time to time.  These bylaws must

           neither be inconsistent with this constitution nor be inconsistent with the school and district policies,

           responsibilities and the rights of fellow students as defined by the school and the district.
